Bookings

1. Contact us to reserve accommodation
a. A reservation is NOT a booking, only a declared intention by you to pay an amount yet to be agreed by us.
b. Your reservation will remain valid for at least three weeks. During that time at least a £50 non-refundable deposit and booking form must be received, if is not then we reserve the right to cancel your reservation.
c. We will always reserve accommodation even before the final cost of accommodation has been agreed.
d. The final amount payable is determined only after discounts you claim for have been agreed.
e. You will be informed either by email or telephone if a discount has been agreed and what the final cost of accommodation will be.

2. Agree Discounts
a. If you wish to claim a discount, a booking form detailing the correct amount of discount and its authorisation code must be received before 1 Dec 10. (Details of applicable discounts can be found here.)
b. The number of the back of the Referee Discount card is the authorisation code. Each is worth £5 of discount.
c. DO NOT SEND REFEREE DISCOUNT CARDS IN THE POST, BRING THEM WITH YOU TO THE EVENT AND HAND THEM OVER WHEN COLLECTING KEYS. We are not responsible for their loss and you will be expected to make payment, in cash, upon arrival, for that element of claimed discounts that they represent should you not be able to produce them upon arrival.

3. Read conditions on reverse of booking form and sign to accept.

4. Send in booking form (with either full payment or £50 deposit).
a. Please ensure that all personal contact details are valid and legible.
b. Deposits may be paid by either Personal Cheque, UK Postal Order or Counter Cheque.
c. DO NOT SEND CASH
d. If you do not have a UK bank account, please contact us to arrange an alternative payment method. In this case, full payment of the balance is required and there will be a small charge levied to cover our charges.
e. If we have agreed with you that the balance can be paid in cash upon arrival please indicate to this effect on the booking form.
f. Once we have received a booking form we will not give refunds due to insufficient discounts being claimed. Unclaimed discounts are automatically considered donations to charity.
g. Any booking form claiming a discount that has not yet been agreed is not a valid booking. Any payment sent with it will not be banked. We will endeavour to notify you immediately where there is a problem with a discount claim.

5. If you do not receive confirmation within two weeks of sending your booking form then please contact us.

6. Cancellations
a. Once we confirm your booking it can only be cancelled if we receive adequate notification of your intention to do so.
b. Inform us immediately if you are unable to keep a reservation or wish to cancel a booking that you have made. We may then be able to re-book your accommodation to someone else. If we are successful then we will make a refund (less £50 deposit) to you after the event. Until we confirm that the accommodation has been successfully re-booked the accommodation, any reservation/booking made by you is considered valid and we reserve the right to retain any payments that you have made.

7. Cash on Arrival and Lost/Late Booking Forms
a. Note we will be pleased to accept CASH on arrival to cover the balance. However, you must have a made a prior agreement with us. This is especially true if for any reason we as yet have not received an "Agreed" booking form from you; i.e., last minuate bookings or due to postal disruption.
b. Unfortunately, we are unable to allow discounts for delegates who fail to complete and return an "agreed" booking form before 1 Dec 10. In such cases we will honour any reservations made but we reserve the right to charge you the full "undiscounted" accommodation cost.
c. When you have arranged with us to pay CASH on arrival, CASH (i.e. not cheque/credit cards) must be paid, in STERLING, immediately upon arrival. Please note that there are no cash machines at the site!!!
d. If you simply reserved accommodation and did not send a booking form, or you sent it and we did not receive it, you will be required to complete a booking form upon arrival.
e. We will not give you the keys to your accommodation until we have received payment in full and a booking form (completed to our satisfaction) for the accommodation.

Special Notes

Booking Individual Rooms in Shared Accommodation
All twin (2 single beds) and double rooms (a double bed) that are available used shared facilities. There are no internal locks on the doors. The cost is per room, not per person in them. Please specify when booking how many people will be sharing the room. (Max 2 plus 1 baby in cot.)

If you intend to pay cash on arrival for rooms in shared accommodation we will have reserved sufficient rooms but will not allocate you specific accommodation until you arrive. Upon arrival these rooms will be allocated on a "first come first served" basis.

Thus if you have specific needs please ensure that you arrange payment in full.

Booking "Off-Site" Accommodation at Hoburne Park
Unfortunately, we cannot allow "Cash upon Arrival" for those staying "Off-Site". In addition, when leaving please return any keys for off-site accommodation at the site you stayed in order to reclaim your key deposit.
